How to Make Your First Appointment

To make an appointment at the Blood and Marrow Transplant (BMT) Program at the Vanderbilt-Ingram Cancer Center, call 615-343-7085. New patient appointments may be made by primary care physicians, oncologists or other physician specialists, or by patients themselves. Our hours are 8 a.m. to 5 p.m. Monday through Friday.

In critical situations, the program will offer you an immediate appointment. For other patients, appointments are available without long waiting periods and will be set up to allow time to collect the information we will need related to insurance coverage and your diagnosis and treatment so far.

New patients can feel confused and overwhelmed as they begin treatment for a blood disease. The transplant process can be complicated and lengthy, and for this reason the Blood and Marrow Transplant Program has staff members who will work with you to collect records and other information and deal with financial issues.

After the first contact from you or your physician, a clinic intake coordinator will contact you by phone to find out where to collect your medical records and obtain other information that our Vanderbilt physicians will need to assess your case. The intake coordinator also will ask about your insurance coverage, and this information will be passed on to a BMT financial evaluator whose job it is to help patients work through financial issues related to transplantation. During this telephone contact, the intake coordinator will ask you for:

  • the names and contact information for the physicians and facilities that have provided any testing or treatment related to your blood disease
  • a description of your insurance coverage and contact information for all insurance providers

At this time, the intake coordinator also will set a tentative appointment for your first visit. However, your Vanderbilt physician must have all your records to review before you arrive in order to provide the best care. In case of some delay in obtaining this essential information, we will work with you to reschedule your appointment in a timely fashion.
